12 WhatsApp Business Features Most Ghanaian Sellers Don't Use

Most sellers use WhatsApp Business like normal WhatsApp. Twelve built-in features that save hours and close more sales, with exactly how to set each one up.

WhatsApp is where most Ghanaian businesses sell. But most sellers use WhatsApp Business exactly like the personal app, typing every answer by hand and losing track of who asked what.

Here are twelve built-in features that save hours and close more sales. All of them are in the free WhatsApp Business app. Menu names can vary slightly between Android and iPhone and change with updates.

1. A complete business profile

What it does: shows your address, hours, description, email and website when people tap your name.

Set it up: Settings, then Business tools, then Business profile. Write a description that says what you sell, where you deliver and how to pay.

2. Catalogue

What it does: lets customers browse your products, prices and photos without asking.

Set it up: Business tools, then Catalogue. Add every product with a clear photo, price and short description. Share catalogue links in chats and statuses instead of sending photo after photo.

3. Quick replies

What it does: saves your common answers so you send them with a shortcut.

Set it up: Business tools, then Quick replies. Create replies for price, delivery, payment, returns, opening hours and "is it original?". Type "/" in a chat to use them.

Tip: write them well once. See how to reply to "how much?".

4. Greeting message

What it does: automatically welcomes new customers.

Set it up: Business tools, then Greeting message. Say hello, tell them what to send (product name, location) and when you'll reply.

5. Away message

What it does: replies automatically outside your hours.

Set it up: Business tools, then Away message. Schedule it for nights and weekends. Include your catalogue link so they can browse while they wait.

6. Labels

What it does: tags chats so you can see who's where in the sale.

Set it up: long-press a chat and add a label. Create labels like New enquiry, Price sent, Waiting for payment, Paid, Delivered, Follow up. Every morning, open "Price sent" and follow up. See WhatsApp follow-up messages.

7. Broadcast lists

What it does: sends one message to many customers, each receiving it as a private message.

Set it up: create a new broadcast from the chats menu. Only people who saved your number receive broadcasts, so ask customers to save it. See WhatsApp broadcasts.

8. Status as a shop window

What it does: shows new stock, offers and proof to everyone who has your number.

Use it: post three to five statuses a day: a product, a delivery, a review, an offer. Link to your catalogue.

9. Short link and QR code

What it does: gives people a link or code that opens a chat with you, optionally with a pre-filled message.

Set it up: Business tools, then Short link. Put it on your Instagram bio, flyers, packaging and website.

10. Click-to-WhatsApp adverts

What it does: runs Facebook and Instagram adverts that open a WhatsApp chat.

Use it: create them in Ads Manager with a messaging objective. Make sure someone can reply fast when the chats arrive. See click-to-WhatsApp ads.

11. Linked devices

What it does: lets you use the same WhatsApp Business account on a computer and other devices.

Use it: reply from a laptop with a proper keyboard during busy periods, or let a team member help. For larger teams, you may need the WhatsApp Business API. See WhatsApp Business app vs API.

12. Pinned and starred messages

What it does: keeps important chats and messages easy to find.

Use it: pin chats with big orders or suppliers. Star messages with addresses or payment confirmations.

A simple daily routine

TimeTask
MorningCheck the "Price sent" and "Follow up" labels and message everyone
MorningPost today's statuses
All dayReply within minutes using quick replies
EveningLabel every chat, so nothing is lost overnight

When you've outgrown the app

Signs you need more: several staff answering the same number, hundreds of chats a day, payments you can't track, or orders getting lost. At that point, look at a checkout link that records orders and payments automatically, and automation for replies. See what PayLead is, track WhatsApp sales and our WhatsApp marketing service.
