Leads Message You on WhatsApp, Then Go Silent: Why and How to Fix It
WhatsApp leads go quiet when replies are slow, the price arrives alone, there's no clear way to pay and nobody follows up. Fix the first reply, send a payment link and follow up on a schedule.
A buyer messages "Hi, how much?", you reply, and then nothing. Two blue ticks and silence. Often the buyer didn't vanish because of your price. They vanished because the conversation gave them no easy next step, and nobody came back for them.
The good news: this is a process problem, so you can fix it this week without spending more on adverts.
What can you fix today?
Do these six things before your next advert runs. Together they take about an hour.
- Read your last 20 silent chats and note the exact message after which each buyer stopped replying. You'll often see a pattern within ten minutes.
- Turn on a greeting message and an away message in the WhatsApp Business app, so nobody waits in silence.
- Save a first-reply script as a quick reply (below), so every lead gets the same strong opening.
- Write one clear offer message with price, delivery, total and how to pay, and save that too.
- Message everyone who went quiet in the last 48 hours with one helpful follow-up.
- Create labels for each stage of a sale, and label every open chat today.
Why do WhatsApp leads go quiet?
Leads go quiet at predictable points, and each one has a fix. When you read through your silent chats, you'll usually find one of these:
| Where the chat died | What it usually means |
|---|---|
| Before your first reply | You replied too late. They bought elsewhere. |
| Right after you sent the price | The price came with no value, delivery or next step. |
| After several questions from you | It felt like a form, not a conversation. |
| After "let me think about it" | Nobody followed up with a reason to decide. |
| After "send your MoMo number" | Paying felt risky or awkward. |
| Never really started | The advert attracted curious people, not buyers. |
Count how many chats sit in each row. Fix the biggest row first.
How fast do you need to reply?
Reply within minutes, not hours. A buyer who sees your advert on Instagram often messages two or three sellers at the same time, and the first one who answers properly often gets the sale.
If you can't reply instantly, the WhatsApp Business app has a greeting message for new chats and an away message for when you're closed. Make them useful, not "Thanks for contacting us, we'll get back to you":
Hello, welcome to [business]. We're here 8am to 8pm, Monday to Saturday, and we deliver across Accra, Kumasi and Takoradi. Tell us which item you're interested in and where you're based, and we'll send you the price and delivery details straight away.
Then run adverts only when someone can actually reply. Our guide to speed to lead explains how to measure your real response time.
What should your first reply say?
Your first proper reply should answer the question, add the reasons to buy, and end with an easy question. Many sellers send only the first part.
A bare "GH₵ 650" invites the buyer to compare you with every cheaper seller on Instagram, Jumia and Tonaton. Compare it with this, for a furniture seller:
Hi Ama, thanks for your message. The office chair is GH₵ 1,450: solid metal base, adjustable height and back support, with a 6-month warranty and delivery within Accra in 24 hours. Are you in Accra, or should I check delivery to your area?
It answers price, quality, trust and delivery in one message, and the closing question is easy to answer. Easy questions keep chats alive. For more examples, see how to reply when a customer asks "how much?".
How do you qualify a lead without interrogating them?
Ask one question at a time, and make each question feel like help rather than screening. A string of questions such as "What's your budget? Where are you? When do you need it? Cash or MoMo?" feels like an application form, and buyers leave.
Instead, attach each question to something useful:
- "Which size do you usually wear? I'll check we have it in stock."
- "Where should we deliver? I'll tell you the delivery fee and time."
- "Is this for you or a gift? I can add gift wrapping."
Two or three questions spread across the conversation tell you everything you need. For higher-value services, ask about timing and budget early, but always explain why you're asking.
Should you send voice notes?
Voice notes can build trust fast, but they shouldn't carry the important details. Many Ghanaian buyers like hearing a real person, especially for expensive items or when they're unsure a seller is genuine. But a buyer at work, in a trotro or watching their mobile data may not play a two-minute recording.
Keep voice notes under a minute, use them to reassure or explain, and always follow with a short text that repeats the price, delivery and next step. If the buyer sends a voice note, it's fine to reply with one.
How do you turn interest into a payment?
Send a clear offer and a way to pay in the same message. "Let me know when you're ready" gives the buyer permission to disappear. "Send me your MoMo number" or "Pay to 024..." makes them wonder whether you're genuine.
A good offer message includes:
- The item, size or package.
- The price, delivery fee and total.
- When it will arrive.
- How to pay: MoMo, card or pay on delivery where you offer it.
- A reason to act now, if there's a genuine one, such as limited stock or a delivery cut-off.
Then attach a payment link. A checkout link that accepts MTN, Telecel and AirtelTigo MoMo and confirms the payment automatically removes the "is this a scam?" fear, and saves you checking screenshots. PayLead, the selling platform from Wura Group (MediaWura's parent company), does this alongside cards and pay on delivery. Our guide to fake MoMo screenshots explains why automatic confirmation matters.
How often should you follow up?
Follow up a few times, spaced out, each time with something new, then stop. Many buyers who went quiet were simply busy, waiting for payday or asking a spouse.
A simple rhythm:
- Same day or next morning: answer the doubt you think stopped them, such as delivery time, sizing or warranty.
- Day 2 or 3: send proof, such as a short customer video or photo of a delivered order.
- Day 5 to 7: a genuine reason to decide, such as restocked sizes or a delivery slot.
- Then stop, and move them to your broadcast list for future offers.
There's also a technical rule if you use the WhatsApp Business Platform (the API) rather than the free app. Meta's documentation says a 24-hour customer service window opens each time a customer messages you. Inside it you can send normal messages. Once it has closed, you can only message that customer with pre-approved template messages, which Meta charges for. So the first follow-up should go out before that window closes. Our guide to follow-up messages that bring quiet customers back has ready-made wording. For most small sellers, the free app is enough to start.
How do labels and quick replies stop leads slipping through?
Labels show you who needs a message today, and quick replies make every message consistent. Both are free in the WhatsApp Business app.
Create labels such as New lead, Price sent, Awaiting payment, Paid and Delivered, and move each chat along as it progresses. At the start and end of each day, filter by "Price sent" and "Awaiting payment". Those are the people to follow up.
For quick replies, WhatsApp's help centre says you can save up to 50, and use one by typing "/" in a chat. Save your greeting, first reply, offer message, delivery areas, payment instructions and each follow-up. In the app, you'll find quick replies under Tools.
Is your click-to-WhatsApp advert bringing the wrong people?
If many chats die before they really start, the advert may be attracting curious people rather than buyers. Click-to-WhatsApp adverts make starting a chat effortless, so the advert itself has to do some filtering.
Show the product clearly, give the price or a price range, say where you deliver, and set a pre-filled message that names the product, so you know exactly what they want. Fewer, better chats beat a flood of "Hi" messages your team can't answer properly. Our guide to click-to-WhatsApp ads covers the setup.
How do you know which adverts bring buyers?
Track which advert each chat came from, then count sales, not chats. One advert might bring 200 chats and four sales, while another brings 40 chats and twelve sales. Without tracking, you'd put more money into the wrong one.
The simplest method: give each advert its own pre-filled message, add a label for each advert, and record which labelled chats paid. The more advanced route connects your sales back to Meta so its system can find more real buyers. See how to track sales that close on WhatsApp.
When should you get help?
Get help when you're paying for adverts that bring chats but your team can't reply fast enough, when you don't know which adverts produce buyers, or when follow-up depends on one person remembering. That's when a proper system, with scripts, labels, payment links, automation and tracking, can pay for itself. We build these for Ghanaian businesses through WhatsApp marketing and automation.
Common questions
Why do people ask the price and never reply?
Usually because the price arrived alone, with no reason to buy and no next step. Send price, value, delivery and an easy question together, then follow up.
How many times can I follow up before it becomes annoying?
Three or four helpful messages over a week is reasonable if each one adds something new. Sending "Hello?" every day is what annoys people.
Should I put my price in the advert?
Usually yes, or at least a price range. It filters out people who would leave at the price anyway, so your team spends time on real buyers.
Can I automate WhatsApp replies?
Yes. The free app has greeting messages, away messages and quick replies. For more automation, the WhatsApp Business Platform connects to chat tools and CRMs, within Meta's rules on templates and the 24-hour window.
Is it better to send people to a website instead?
Not necessarily. Many Ghanaian buyers want to ask before paying, and WhatsApp suits that. The fix is a better conversation and an easy way to pay, not abandoning the chat.
