How to Qualify Leads So Your Team Stops Chasing Time-Wasters
Lots of leads, very few customers? Qualification fixes it. How to filter enquiries by budget, need and timing, the questions to ask, and how to score leads simply.
You run lead adverts and get 300 enquiries in a week. Your team calls them all. Half don't pick up. Many say they clicked by mistake, or ask the price and vanish. By Friday, your team has stopped trusting the leads, and you've stopped trusting the adverts.
The problem isn't the number of leads. It's that nobody filtered them. Qualification means working out quickly who can buy, and spending your time on them.
What makes a qualified lead
A qualified lead has:
- Need: they have the problem your product or service solves.
- Budget: they can afford your price.
- Timing: they want to buy soon.
- Authority: they make the decision, or can bring the person who does.
You don't need all four to talk to someone, but the more they have, the higher they go on your list.
Filter before the lead arrives
The cheapest qualification happens in the advert and form.
- State the price or price range in the advert. People who can't afford it won't enquire.
- Say who it's for. "For businesses doing GH₵ 20,000+ a month."
- Ask qualifying questions on the form: budget range, timeline, location, what they need.
- Use a higher-intent form that asks people to review their answers before submitting. See lead forms vs landing pages.
You'll get fewer leads. You'll get more customers.
Questions to ask on the first call or chat
- What made you get in touch today?
- What are you looking to achieve?
- What have you tried so far?
- When are you hoping to get started?
- Do you have a budget in mind?
- Who else is involved in the decision?
Ask naturally, as a conversation, not an interrogation.
A simple lead score
Give each lead a quick score:
| Factor | Points |
|---|---|
| Clear need for what you sell | 2 |
| Budget fits your price | 2 |
| Wants to start within a month | 2 |
| Is the decision-maker | 1 |
| Came from a referral or high-intent search | 1 |
Leads scoring 6 or more get called first, by your best person. Lower scores get a follow-up sequence and nurturing content until they're ready.
Don't throw away unqualified leads
"Not now" isn't "never". Put them on a follow-up list with useful content and check in later. Many become customers months afterwards.
Speed still matters

Track lead quality, not just quantity
Report on:
- Leads by source and advert.
- Share that were qualified.
- Share that became customers.
- Cost per customer, not just cost per lead.
This tells you which adverts bring buyers, and lets you move budget there.
Common questions
Won't asking about budget put people off?
Asked politely, with a reason, most serious buyers appreciate it. "So I can recommend the right option, do you have a budget range in mind?"
Should I use a CRM?
Once you have more leads than one person can track, yes. See do you need a CRM?.
