How to Write a Sales Script Your Team Will Actually Use
Scripts don't make your team sound like robots. They make sure every customer gets your best answer. How to write sales scripts for WhatsApp and calls that staff actually use.
Your best salesperson closes far more than everyone else. Ask them how, and they'll describe things they say without thinking: how they greet people, how they answer "is it original?", how they handle "let me think about it".
A sales script captures that, so everyone on your team can do it. Here's how to write one that people actually use.
Scripts are guides, not word-for-word speeches
The goal isn't for staff to read lines like a robot. It's for every customer to get the best answer to each common question, in your brand's voice. Staff should adapt the words naturally, but keep the structure and the key points.
Step 1: Listen to real conversations
Read 50 recent WhatsApp chats and listen to a few sales calls. Note:
- The questions customers ask most.
- Where conversations die.
- What your best salesperson says that works.
- The objections that come up again and again.
Step 2: Map the conversation
Most sales conversations follow a path:
| Stage | Goal |
|---|---|
| Greeting | Warm, fast, personal |
| Understanding | Find out what they need |
| Recommending | Suggest the right product or service |
| Answering doubts | Handle questions and objections |
| Closing | Ask for the order, make paying easy |
| Following up | Bring back people who didn't decide |
Write the key lines for each stage.
Step 3: Write the core lines
Greeting:
Hi [Name], thanks for messaging [Brand]! I'm [Staff name]. How can I help you today?
Understanding:
Is it for you or a gift? What will you mainly use it for?
Recommending:
Based on that, I'd go with the [product]. It's [benefit] and [benefit].
Price: see how to reply when a customer asks "how much?".
Closing:
Shall I send you the payment link so we can deliver tomorrow?
Step 4: Write answers to the top objections
For each common objection, write the best response:
- "It's too expensive." See handling price objections.
- "Is it original?"
- "Can I pay on delivery?"
- "How long does delivery take?"
- "What if it doesn't fit or work?"
- "Let me think about it."
Step 5: Make it easy to use
- Save lines as quick replies in WhatsApp Business, with short shortcuts.
- Print a one-page version for phone sales.
- Keep product details in one place so answers stay accurate.
Step 6: Train and practise
Role-play the common situations with your team. Let them try the lines in their own words. Listen to calls and read chats together, and celebrate good examples.
Step 7: Update it monthly
New products, new objections, new prices. Review the script every month with your team, and add what's working.
Common questions
Won't customers notice the script?
Not if staff personalise it and sound natural. Customers notice slow, unhelpful replies far more than they notice good, consistent ones.
Should I script phone calls too?
Yes, especially for services and high-value products. A clear call structure with key questions and answers helps new staff close faster.
