Konnected House: Building One Hub to Run a Media Company
Konnected House runs the Konnected Minds podcast, the Unbroken podcast and Tribe. We built the hub that tracks its guests, workers, tasks, workload, deliverables and KPIs.
Konnected House is the company behind the Konnected Minds podcast, the Unbroken podcast and Tribe. Several shows, a community, guests coming in every week and a team working across all of it.
MediaWura built the system the company now runs on: one hub to track guests, track workers, assign tasks, see work in progress, and follow KPIs, team workload and team deliverables, with an admin area on top.
This case study explains what the system does and why a company like this needs one.
What does a media company actually have to keep track of?
More than most people think. A podcast looks simple from the outside: two people, two microphones, one conversation. Behind it sits a production line.
Guests have to be found, invited, confirmed, briefed, recorded and thanked. Every episode has to be edited, clipped, captioned, designed for and posted. Every one of those jobs belongs to someone, has a deadline and depends on the job before it.
Now run several shows and a community at the same time. The same team is working on all of them. The same guest might appear on more than one. And the people in charge need to know, at any moment, what is done, what is late and who is overloaded.
What was the problem with running it on chats and spreadsheets?
The same problem every growing team hits. The work outgrew the tools.
When a company is small, it runs on WhatsApp groups, shared sheets and memory. Somebody asks "has the guest for Thursday confirmed?" in a group chat, and someone answers. It works while the team is small enough that everyone can hold the whole picture in their head.
Once there are several shows and several people, that picture breaks:
- Guest details live in one person's phone.
- Tasks are given out in chats and lost under newer messages.
- Nobody can see who has too much work and who has room.
- Progress is checked by asking, which interrupts the people doing the work.
- KPIs are worked out by hand, if at all.
We wrote about these warning signs in signs your business has outgrown WhatsApp and notebooks. Konnected House had reached the point where it needed a proper system.
What did MediaWura build?
A single management hub for the whole company. Instead of separate tools for guests, staff and tasks, everything sits in one place that leaders and staff both log into.
Guest tracking
Every guest is recorded in the system, so the company has one list of who is coming in, who has been on which show, and where each guest is in the process. Nobody has to scroll back through a chat to find a phone number or check whether someone confirmed.
Worker tracking
The hub keeps a record of the team: who is on it, what they are responsible for and what they are working on. When the company grows or someone new joins, they are added to the same system everyone else uses.
Task management
Leaders assign tasks inside the system, to a specific person. The task stays there until it is done. It does not scroll away under a voice note or a sticker. Staff see what is assigned to them, and managers see what has been assigned to everyone.
Work progress
Because tasks live in the hub, progress can be seen without asking. A manager can open the system and see what is in progress, what is finished and what is stuck, instead of sending "how far?" messages all day.
KPIs, workload and deliverables
This is where a hub proves its worth. The system tracks KPIs, team workload and team deliverables, so the company can see who is carrying too much, who has capacity, and whether the team is delivering what it promised.
Those are the questions that decide whether a media company keeps its publishing schedule. Without a system, they are answered by gut feeling. With one, they are answered by looking.
The admin system
Above all of this sits an admin area for the people running the company, to manage the people, the guests and the work from one place.
Why build it instead of buying a task app?
Off-the-shelf task apps are good at tasks. They are not built around guests, shows, deliverables and KPIs together, and they don't know how a Ghanaian media company actually runs.
A company like Konnected House would normally end up with a task app, a spreadsheet for guests, another for KPIs, and the WhatsApp group carrying on beside them all. Four places to check, none of them complete.
A custom hub puts it all in one place, shaped around how the team already works. We set out the trade-offs in detail in custom software vs off-the-shelf.
What does the system change for the company?
The point of a hub like this is not the software. It is what the software lets leaders stop doing.
- They stop chasing. Progress is visible, so they don't have to ask for it.
- They stop guessing. Workload and KPIs are on screen, so decisions about who does what are based on what is actually happening.
- They stop depending on one person's memory. Guest details and task history live in the system, not in a phone.
- They can grow the team without losing control. New people join a system, not a group chat.
What can other businesses learn from this?
You don't have to run a podcast for this to apply. Any business where a team delivers work for many clients, guests or projects at once has the same shape: a production company, an agency, a consultancy, an events team, a church media department, a school administration.
If you recognise these, you are ready for a system:
- You find out about late work when the client or guest complains.
- You can't say who is overloaded without asking everyone.
- Important details live in one person's phone.
- Your WhatsApp group is where tasks go to die.

Common questions
What is a company management system?
It is one piece of software where a company manages its people, its work and its key records together. For Konnected House that means guests, workers, tasks, progress, KPIs, workload and deliverables, all in one hub with an admin area.
Is this only for media companies?
No. The same structure works for any team that delivers lots of work for lots of people. The records change: guests become clients, shows become projects. The need to see who is doing what, and whether it is done, stays the same.
Can staff use it on their phones?
That is a requirement we design for. Most Ghanaian teams work from their phones, so a system that only works well on a laptop does not get used.
Who owns the system?
The client does. We build it for the business, and the business keeps it.
How much does a system like this cost?
It depends on what it needs to do. We map how the business works, then give a fixed quote in writing for each stage, so you can start with what hurts most.
