How Ghanaian Business Owners Can Use ChatGPT Every Day

Practical ways to use ChatGPT, Gemini and other AI assistants in a Ghanaian business, from captions and replies to pricing, planning and staff training. With example prompts.

Most business owners have tried ChatGPT once or twice, got a generic answer and moved on. Used properly, an AI assistant is like having a fast, tireless assistant who's good at writing, summarising and thinking things through.

Here are practical ways to use it every day, with prompts you can copy.

The one rule: give it context

AI gives generic answers to generic questions. The more it knows about your business, the better it gets. Start important chats with something like:

I run a women's fashion shop in Osu, Accra. We sell dresses and two-piece sets from GH₵ 250 to GH₵ 600. Our customers are women aged 25 to 40 who work in offices. We sell on Instagram and WhatsApp, deliver across Accra and accept MoMo and pay on delivery.

Then ask your question.

1. Write captions and adverts faster

Write five Instagram captions for our new linen two-piece set (GH₵ 420). Friendly, confident, not cheesy. Mention free delivery in Accra this week. End each with a clear call to action.

Ask for several options, pick the best, then edit it in your own voice. Never post the first draft unchanged.

2. Draft replies to customers

A customer says our price is too high compared to a seller on Instagram selling something similar for GH₵ 250. Write a polite WhatsApp reply that explains our quality and delivery without sounding defensive.

Save the good replies as quick replies in WhatsApp Business. See how to handle price objections.

3. Write product descriptions

Write a product description for a handmade leather tote bag. Include size, material, what fits inside, care instructions and delivery information. Under 120 words, easy to read on a phone.

4. Plan a month of content

Plan 20 Instagram posts for November for our skincare brand. Mix product education, customer stories, behind-the-scenes and offers. Include a hook for each post.

5. Think through pricing and offers

I want to create a Christmas bundle from these three products: [list with prices and costs]. Suggest three bundle ideas with prices that keep at least a 40% margin, and explain why each would appeal to buyers.

6. Summarise and analyse

Paste in customer reviews, survey answers or a long supplier email:

Summarise the most common complaints and compliments in these 50 customer reviews, and suggest three changes we should make.

7. Create staff training materials

Write a one-page guide for new sales staff on how to reply to WhatsApp enquiries, including our delivery areas, payment options and five common questions with answers.

8. Prepare for meetings and negotiations

I'm meeting a supplier to negotiate lower prices on a bigger order. Help me prepare: what to ask, what to offer in return, and how to respond if they refuse.

What not to do

  • Don't trust facts blindly. AI can sound confident and be wrong, especially about laws, taxes, prices and recent events. Check anything important.
  • Don't paste sensitive data. Avoid customer phone numbers, ID numbers, passwords and private financial details.
  • Don't publish without editing. Unedited AI text often sounds generic. Your customers can tell.
  • Don't let it replace knowing your customers. It can help you write; it can't tell you what your buyers actually think unless you give it real feedback.

Going further

Once you're comfortable, AI can do much more than help you write: answer common enquiries, process orders from chats, follow up leads and send daily reports. That's AI automation. See AI automation for small businesses in Ghana.

Common questions

Is ChatGPT free?

There are free and paid plans. Paid plans usually give better models and more use. Other assistants like Gemini and Claude offer similar options.

Can AI write in Twi or other Ghanaian languages?

Support varies and quality is mixed. Always have a fluent speaker check anything in a local language before you use it.

Will Google penalise AI-written content?

Google cares about whether content is helpful, not how it was written. See is AI-written content bad for SEO?.
