Find Your Brand Voice Without a 40-Page Document

Your brand voice is how your business sounds in every advert, post and WhatsApp reply. A one-page way to define it, examples of voices that work in Ghana, and how to keep your whole team consistent.

Read three posts from most Ghanaian businesses and you'll hear three different companies. One post is formal, the next is full of slang, and the WhatsApp reply sounds like a different business altogether. Buyers notice, even if they can't say why. Inconsistency feels small, and small feels risky.

A brand voice fixes that. It's how your business sounds, everywhere, whoever is writing.

What a brand voice is

Your brand identity is how you look: logo, colours, fonts. See brand identity vs logo. Your brand voice is how you sound: the words you choose, how formal you are, whether you're funny, how you talk to customers.

It shows up in:

  • Adverts and video scripts.
  • Social media captions. See captions that sell.
  • Your website.
  • WhatsApp replies and broadcasts.
  • How staff answer the phone.
  • Packaging, receipts and delivery messages.

You don't need a 40-page guide

Big companies produce enormous brand voice documents that nobody reads. You need one page your team will actually use. Here's what goes on it.

1. Three words that describe how you sound

Pick three adjectives, and for each, say what it means and what it doesn't.

We areThat meansIt doesn't mean
ConfidentWe say what we do plainly and stand behind itArrogant or dismissive
WarmWe talk like a friend who knows the subjectOverfamiliar or slangy
ClearShort sentences, common wordsDumbed down

2. Words we use, words we don't

A short list. For example:

  • We say: customers, order, delivered, pay on delivery, original.
  • We don't say: esteemed clients, kindly revert, utilise, affordable quality.

3. Before and after examples

The fastest way to teach a voice is to show it. Take three common messages and show the old version and the new one.

Replying to a price enquiry:

Before: "Good day. The price is GH₵ 450. Kindly revert."

After: "Hi Ama, it's GH₵ 450, with free delivery in Accra. It's full leather, so it won't peel. Want me to send a video of the brown one?"

See how to reply to "how much?".

4. How we handle tricky moments

Complaints, late deliveries, refunds. A line or two on the tone for each. Usually: own it, fix it, don't argue in public.

Voices that work in Ghana

There's no single right voice. Some examples:

  • The trusted expert: calm, precise, factual. Works for electronics, healthcare, finance, B2B.
  • The friendly neighbour: warm, chatty, a little playful. Works for food, beauty, everyday retail.
  • The premium brand: few words, confident, never desperate. Works for luxury fashion, property, high-end services. See premium pricing.
  • The bold challenger: direct, provocative, unafraid to call out the industry. Works for brands disrupting a category.

What matters is that it fits your buyers and you use it consistently.

Where your voice comes from

The best brand voices aren't invented. They're found, in:

  • How the founder talks about the business when they're excited. See founder-led content.
  • How your best customers describe you in reviews.
  • What makes you different from competitors. If they're stiff and formal, warm and plain stands out.

Keeping the team consistent

  • Pin the one-page guide in the staff WhatsApp group.
  • Write saved replies for common questions in the voice. See WhatsApp Business app vs API.
  • Review a few real chats each week and give feedback.
  • Give new staff the guide on day one.

Common questions

Can our brand voice use Pidgin or Twi?

Yes, if your buyers use them and it fits your brand. Many brands mix English with local expressions in social content and keep formal channels in English.

Should our voice change by platform?

The personality stays the same. The tone can flex: a little more playful on TikTok, a little more formal in a proposal.

Can you define our brand voice?

Yes. A short voice guide is part of our copywriting service and our brand identity service.
